Job Overview

We are seeking a detail-oriented and proactive Office Assistant to join our dynamic team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support, managing front desk activities, and assisting with customer service.

This position requires strong organizational skills, a bubbly personality and proficiency in various office software, and the ability to multitask effectively in a fast-paced environment.

Responsibilities

  • Manage front desk operations, including greeting visitors and handling inquiries
  • Answer and direct calls using a multi-line phone system with excellent phone etiquette.
  • Perform data entry tasks accurately and efficiently
  • Maintain organized filing systems for easy retrieval of documents
  • Assist with calendar management and scheduling appointments
  • Provide customer support by addressing client needs and resolving issues promptly
  • Utilize QuickBooks for bookkeeping tasks as needed
  • Proofread documents to ensure accuracy and professionalism
  • Support office management duties, including inventory management and ordering supplies
  • Collaborate with team members to improve office processes and workflows
  • Utilize Microsoft Office Suite and Google Workspace for various administrative tasks

Experience

  • Previous office experience is preferred, with a focus on clerical and administrative roles
  • Familiarity with medical or dental receptionist duties is a plus
  • Bilingual candidates are encouraged to apply to enhance customer communication
  • Strong computer skills, including proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and Google Workspace tools
