Compliance Assistant

Job Summary

We are seeking a proactive and detail-oriented Compliance Assistant to support our Safety Manager and ensure our 3PL (Third-Party Logistics) firm remains fully compliant with all licensing, permitting, and human resources regulations. This role is essential for maintaining accurate and up-to-date employee records, managing onboarding documentation, and assisting with various administrative tasks. The ideal candidate will be a highly organized self-starter who can effectively manage multiple priorities and has a strong commitment to accuracy.

Responsibilities

  • Compliance Administration: Assist the Safety Manager in maintaining all compliance-related documentation, including licenses, permits, and certifications for the company and its employees.
  • Employee Documentation: Ensure all new hire paperwork and ongoing employee records are accurately completed, filed, and maintained in compliance with HR policies and legal requirements.
  • Auditing and Reporting: Conduct regular audits of employee files and company records to identify and correct any discrepancies. Prepare compliance reports as needed.
  • Administrative Support: Provide general administrative support, including data entry, filing, and managing correspondence.
  • Cross-Departmental Assistance: Collaborate with the accounting department to provide administrative support, such as organizing financial documents or assisting with data entry, as required.

Qualifications

  • High school diploma or equivalent; a bachelor's degree is a plus.
  • Proven experience in an administrative or support role, preferably within a logistics, transportation, or compliance-focused environment.
  • Strong understanding of administrative processes and record-keeping principles.
  • Exceptional attention to detail and a high level of accuracy.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to handle confidential information with discretion.
